The Solution: A New Workflow for Photo Management
This workflow is based on a simple but powerful idea: separate your archive from your highlights.
- Archive (Local): Your complete photo history, stored on an external drive in manageable, year-based libraries.
- Highlights (iCloud): A curated collection of your absolute best photos, synced across all your devices via iCloud.
Here's how to achieve it:
Step 1: Create Your Project - Split Your Large Library
Your first step is to break up your monolithic Photos library into smaller, year-based archives. This makes your libraries faster and easier to manage.
Tools You'll Need:
- An external SSD with at least 2x the space of your current Photos library.Photo Codex
- PowerPhotos (a powerful third-party library management tool for macOS).
The Process:
- Create New Libraries: Use PowerPhotos to create new, empty libraries on your external drive. Name them by year range (e.g.,
Photos 2015-2018.photoslibrary,Photos 2019-2022.photoslibrary). - Copy by Date Range: Use one of the methods in the How to Split a Large Photos Library guide to copy photos from your main library into your new year-based libraries. The Export and Re-Import method is the most reliable.
- Create Your "Visual Life Master" Library: Create one final, empty library on your Mac's internal drive. This will become your new System Photos Library and will sync with iCloud. Name it something like
Visual Life Master.photoslibrary.
At the end of this step, you'll have:
- A set of year-based archive libraries on your external drive.
- A new, empty System Photos Library on your Mac for your highlights.
Step 2: Find Your Best Photos with Photo Codex
Now, for each of your new year-based archive libraries, you'll use Photo Codex to find the hidden gems.
- Connect to a Library: Open Photo Codex and connect to one of your archive libraries (e.g.,
Photos 2019-2022.photoslibrary). - Analyze Scores: Let the app analyze the 27 quality scores that Apple has already assigned to every photo.
- Select the Best: Use the app's statistical analysis to select the top 1-5% of your photos. The app's peer group comparison ensures that you're comparing similar types of photos, so your best portraits aren't competing with your best landscapes.
- Mark as Favorites: With one click, mark the selected photos as favorites.
Step 3: Build Your iCloud Highlights Library
This is where the magic happens. You'll now move your newly marked favorites from your local archive library to your new iCloud-synced master library.
- Open Both Libraries in PowerPhotos: In PowerPhotos, you can have multiple libraries open in the sidebar.
- Browse the Archive Library: Select your archive library (e.g.,
Photos 2019-2022.photoslibrary) and browse its contents. - Filter by Favorites: Create a smart album or filter to show only the photos marked as favorites.
- Copy to Master Library: Select all the favorites and drag-and-drop them into your
Visual Life Master.photoslibraryin the PowerPhotos sidebar. Choose to "Copy" the photos.
Repeat this process for each of your year-based archive libraries. Each time, you are adding only the best-of-the-best to your new, clean, iCloud-synced library.
